Terms of Service Voithos AI

Voithos AI is an AI-powered online meeting assistant designed to automate meeting transcription, summarization, and organization.

The Service connects to your calendars to find upcoming meetings and joins them as a virtual participant to record and analyze the meetings.

To ensure core functionality, Voithos AI requires read-only access to your Google, Microsoft, or Apple calendars.

This access is used exclusively for:

• identifying meeting titles, times, and participant lists;
• retrieving meeting URLs (e.g., Zoom, Google Meet, MS Teams) so the bot can join them.

• AI Analysis: Voithos AI uses state-of-the-art language models, including Gemini 3.1 Flash Lite, to generate meeting summaries and transcripts.
• Storage Location: all video recordings and data are stored in a secure cloud environment located in Warsaw, Poland.
• Retention Policy:
  • Video Recordings: stored for 365 days, after which they are automatically deleted.
  • Transcripts and Summaries: stored indefinitely until the user deletes them.
• User Control: you retain full control over your data. You can delete individual recordings or your entire account at any time via the Service settings.

The following pricing plans are available:

• Free Plan: 5 meetings per month at no cost.
• Early Birds: $8 USD per month per user. This rate is available to the first 50 users and is valid for 6 months.
• Standard Price: $10 USD per month per user.

For 6-month or 1-year subscriptions, the price is lower, as shown in the table below:

Payment Methods. Subscription plans can be paid for in one of the following ways:

• bank payment card (Visa/Mastercard) via a payment system;
• bank transfer to the Company’s current account.

Access to the paid functionality of the Service is provided (activated) immediately upon receipt of funds. As the Service is software provided remotely (SaaS), physical delivery of goods is not provided; the terms of “delivery” consist of granting online access to the Service via the user’s account.

Refunds. Refunds are possible in the following cases:

• early termination of a paid annual plan — funds are returned on a pro-rata basis for the actually unused subscription period;
• paid but unregistered (not activated) user seats/accounts.

In all other cases, funds are non-refundable.

Refund Procedure:

1. The client contacts the Voithos AI technical support team with a refund request.
2. The application is reviewed within 5 (five) business days from the date of the request.
3. If the above conditions are met, the Company calculates the refund amount (on a pro-rata basis) and transfers the funds to the account or card from which payment was made within 7 banking days.

• Authorized Access & Credentials: If you access or integrate the Service via our Model Context Protocol (MCP) server, REST API, or related endpoints (including integrations with Anthropic Claude, AI agents, IDEs, or automated workflows), you are solely responsible for safeguarding your authentication credentials, API keys, and OAuth session tokens. You must not share your access tokens with unauthorized third parties.
• Agent Actions and User Responsibility: You acknowledge and agree that AI clients or agents invoking Voithos MCP tools act on your behalf and with your authorization. Any query, creation, modification, or deletion of meeting data, summaries, notes, or tasks triggered through an MCP connection is considered an action initiated by you. Voithos shall not be liable for any unintended modifications or data losses resulting from automated prompts or agent execution.
• Third-Party AI Models & Syntheses: While Voithos strives to deliver accurate transcripts and metadata, when you connect our MCP server to third-party AI platforms (such as Claude), Voithos does not control and is not responsible for how the external language model processes, summarizes, or hallucinates interpretations based on the retrieved data.
• Rate Limits and Abuse Prevention: To ensure service availability and security for all users, we reserve the right to establish and enforce rate limits, throttle requests, or temporarily or permanently revoke API/MCP access in cases of excessive usage, automated scraping, abusive querying, or attempts to circumvent platform safeguards.
• Service Modifications: MCP endpoints and schema definitions may be updated, modified, or deprecated as the protocol and product evolve. We will make reasonable efforts to maintain backward compatibility and announce breaking changes in advance where practicable.

CleverStaff LLC retains all rights to the software and branding of the Service.

Users retain ownership of their meeting content, including recordings and transcripts.

Voithos AI is provided “as is”.

CleverStaff LLC is not liable for any indirect damages arising from the use of the Service.
